Many users have set up their M365 user account to use text messages for multifactor authentication.  While this is an easy way to obtain a code to complete authentication to log in, it can present some challenges when communications carriers have system outages.  


Using Microsoft Authenticator App for your multifactor authentication can solve this issue, provides greater security and streamlines the authentication process.

How to set up Microsoft Authenticator App for Multifactor Authentication

  1. Log into Office.com
  2. Click on your user icon in the top right hand corner and select View Account
  3. Click Security Info, then click the + icon to add a new sign-in method.  In the dropdown field, select Authenticator App, then click Add.
  4. Set up the Microsoft Authenticator App on your mobile device.
    1. Search for and download the Microsoft Authenticator App in the App Store.  Be sure to download the application developed by Microsoft and not another developer.  Open the application, review and accept the privacy agreement.
    2. Tap Work or school account, then tap Sign In.  Follow the standard process to log in with your InsureLine credentials for Microsoft 365.
    3. On the Sign in with your phone screen, tap Continue.  On the following screen, tap Register to register your device. Click Finish to complete the set up process.
  5. On your computer, navigate back to the Security Info screen from step 3.  You should now see Microsoft Authenticator listed as one of your sign-in methods.  To make this your default sign-in method, click Change and select Microsoft Authenticator - notification in the dropdown field.  Click Confirm.


Using the Microsoft Authenticator for Multifactor Authentication

  1. Follow the normal process to long into an M365 enabled application.  After entering your password, you should receive a prompt on your mobile device from the Microsoft Authenticator device asking to approve sign-in.  Alternatively, you can bypass having to enter your M365 password by clicking on the Other ways to sign in and select Authenticator App.  You'll be prompted to enter a two digit number on your mobile device to gain access.
  2. Tap the notification, then Approve.
  3. The system should complete the sign-in process and allow you into the program/application.


Some applications may allow for multifactor authentication to be required every 90 days while others may require it each time you log in.
